Administrative Assistant-Sales Support

U.S. office for International technology company has a part-time Administrative Assistant sales support role that will report to VP of Sales and VP of Engineering. Excellent working environment. Responsibilities include:

  • Sales Support/Customer Service
  • Qualify all sales leads; by phone, e-mail, or web-leads.
  • Enter all web-leads into customer database; Microsoft CRM 3.0
  • Distribute all sales leads to proper sales personnel.
  • Create and maintain customer reports.
  • File expense reports for sales staff and Engineers.
  • Inventory control and ordering of office supplies.
  • Typing as needed (letters, spreadsheets, and e-mails).
  • Ship out samples to clients and maintain Sample Directory.
  • Ship out products to clients and maintain Shipping Database.
  • Obtain product serial numbers and shipping documents.
  • Research shipping cost, package item(s), and set-up shipment pick-up.
  • E-mail tracking number to my team.
  • Fill out order forms
  • Assist in travel arrangements.
  • Assist in appointment scheduling.
  • Assist with coordination of conferences.
  • Coordination and research of  Installations.
  • One of three primary point-of-contacts with coordination of  installations.
  • Contact clients for installation dates.
  • Send out Installation Guides to client Managers.
  • Acquire Electrician recommendations from client Managers.
  • Contact Electricians.
  • Inquire hourly rates and methods of payment.
  • Discuss project details with Electricians.
  • Send out Installation Guides to Electricians.
  • Finalize project details with Electricians.
  • Confirm travel arrangements with Engineer.
  • Confirm equipment arrival with client Managers.
  • Confirm date and time of installation with Electricians.
  • Day of  installation: provide resourcefulness, if problems arise.
  • Follow up with Electrician for a break-down of bill
  • Send Bill from Electrician to Accounting department.
  • General Office duties.
  • Greet incoming clients.
  • Opening and distribution of mail.
  • Answer incoming calls on a multi-line telephone.
  • Data entry, filing, faxing, copying, typing, mailing, scanning of documents, maintaining office supplies, preparing reports and assist coordination of meetings.
  • FedEx/UPS/USPS services.
  • Assume additional responsibilities as required.

Requirements:

  • Three plus years administrative assistant and sales support experience. Preferably from a technology based company
  • Strong organizational and time management skills.
  • Strong communications skills.
  • Proficient MS Office skills and knowledge of Quickbooks for data entry for accounting purposes.
  • Ability to work a schedule of 9:00AM-3:00PM

Responsibilities for Loan Closer/ Post Closer:
  • Review Loan documents package to ensure all required documents are returned and are compliant with Federal, State, and Investor Guidelines.
  • Audit files submitted by loan processors.
  • Compare loan data on documents to loan organization system for accuracy.
  • Review title and surveys for exceptions, liens and judgments.
  • Complete verbal verification of employment
  • Ensure that all funding conditions have been met and that rates, points, and fees are accurate.
  • Review fee sheet, title commitment, hazard insurance and insured closing letters for approval.
  • Handle all closing questions from attorneys, processors, and closing attorneys, tile company to verify changes, vesting, and delivery of related documents.
  • Perform quality control of all documentations.

  • Requires excellent communication skills.
  • Residential Loan Closing/ Post Closing Experience.
  • Any mortgage software and Basic MS Office
